Position Description
Reporting directly to the Assistant Director of Finance, this position provides life-cycle grants management support and finance support in the Department of Biomedical Informatics (DBMI)at the Harvard Medical School (HMS). The Research Portfolio Administrator (RPA) is responsible for managing a mid-sized portfolio's financial and administrative management consisting of departmental research labs and department non-sponsored accounts. Review documents to ensure submission of accurate and compliant application materials by interpreting sponsor guidelines and university policies to identify risk, mitigate submission errors, and meet sponsor submission standards. This position affords an excellent opportunity to engage in and contribute to the administration of a world-leading research enterprise. The RPA will be responsible for all pre- and post-award management for a specific grants portfolio. Pre-award responsibilities include proposal preparation and review of application requirements. The pre-award responsibilities include identifying and disseminating funding opportunities, proposal and budget development, application submission, and interaction with the Harvard Medical School, Sponsored Programs Administration. Post-award duties include budget/fund reconciliation, updates, and projections for sponsored awards; coordination of timely effort reporting; submission of timely payroll changes for faculty, staff, and students; creating relevant and applicable sub-agreements; following up with negotiation and execution and ensuring compliance with federal and University cost principles. The RPA will prepare multiple financial reports(including ad hoc reports) for use in planning and decision-making. In addition, the RPA will manage, track, and report all research-related contracts to Harvard stakeholders and Harvard Office of Sponsored Programs (OSP) staff. The RPA is responsible for internal and external billing, including accounts receivable, B2P, reimbursement, and credit vouchers. The responsibilities will also include interpreting and administering university guidelines and sponsored research regulations and serving as the principal source of information/guidance for faculty on complex administrative and fiscal policies and procedures. The RPA will maintain strong relationships with OSP and the Office of Research Administration (ORA) to ensure compliance with HMS, the University, and sponsor regulations. Performing special projects and other duties as assigned.
Basic Qualifications
- Four or more years of experience in sponsored research administration or related experience required. Higher education may count toward years of experience.
Additional Qualifications and Skills
- Advanced knowledge of Microsoft Excel and demonstrated research administration experience in an academic or non-profit environment preferred.
- Excellent organizational, verbal, and written communication, problem-solving, and interpersonal skills required.
- Excellent attention to detail is critical.
- Must be able to take initiative and manage multiple projects simultaneously with frequent deadlines in an interactive environment.
